Marketing → Sales → Customer Success: Stop Losing Insight at the Handover
    Synaptia Haus

When Marketing passes a contact without context, Sales must rediscover the need. When Sales closes without documenting commitments, Customer Success inherits expectations it may not be equipped to meet.

Missing information and lost continuity is the result.

The evidence: service quality has commercial consequences

The Institute of Customer Service’s January 2025 UK Customer Satisfaction Index found that 21% of customers said they had increased their spending with an organisation because of the service they received. The report draws on 59,500 customer experiences collected in 2024.

How each team suffers, and what to improve

    Practical failure modes to examine:

HandoverWhat gets lostHow teams sufferWhat to improve
Marketing → SalesCustomer interest, campaign context, qualification evidence and previous conversationsSales repeats discovery; Marketing cannot distinguish poor-fit leads from weak follow-upAgree qualification criteria, capture relevant context and assign follow-up ownership
Sales → Customer SuccessDesired outcomes, scope, stakeholders, promises and dependenciesCS starts without a clear success plan; Sales faces escalations over expectationsUse a structured handover covering what was agreed, why the customer bought and what happens next
CS → Sales and MarketingAdoption barriers, recurring objections, customer language and emerging needsSales misses context for expansion; Marketing continues messaging that may not reflect experienceFeed customer outcomes, issues and qualified opportunities back into account and campaign reviews

Improve the process as well as the form

A mandatory field does not guarantee a useful handover.

Define what the receiving team needs to act, who checks completeness and how missing information is resolved. Keep shared customer records current rather than creating separate departmental versions.

Then track whether the process works: unassigned leads, incomplete handovers, time to first action and onboarding issues linked to unclear commitments.
